Stay on Top of SAM Renewals and Organizational Registrations

Grant recipients: This is an important reminder to renew your organization’s System for Award Management (SAM) registration. We have recently seen an increase in those who have not renewed their registration or are not starting the process early enough. Keep in mind that we cannot provide grant funds to organizations with an expired SAM registration; this includes competing and noncompeting awards.

As you know, SAM allows entities to do business with the federal government and allows them to apply for federal grants or contracts.

If you are new to SAM or want to renew your entity, go to Get Started with Registration and the Unique Entity ID for additional information, including contact information for the Federal Service Desk. The Unique Entity IDentifier (UEI), formerly DUNS, is an identifier assigned by SAM to uniquely identify business entities.

For Organizations New to NIH Funding

Learn about the required organization registrations needed to apply for NIH grant funding.

In addition to SAM (see section above), you will need to register for the following:

  • eRA Commons—applicants must have an active UEI number and SAM registration in order to complete the eRA Commons registration. Organizations can register with the eRA Commons as they are working through their SAM or Grants.gov registration. eRA Commons requires organizations to identify at least one signing official (SO) and at least one program director/principal investigator (PD/PI) account in order to submit an application.
  • Grants.gov—applicants must have an active UEI number and SAM registration in order to complete the Grants.gov registration.
  • Small Business Administration Company Registration—see “SF 424 (R&R) Other Project Information” in Section IV. Application and Submission Information, for instructions on how to register and how to attach proof of registration to your application package. Applicants must have a UEI number to complete this registration. SBA Company Registration is not required before SAM, eRA Commons, or Grants.gov registration.

Start registrations early since it can be a lengthy process. Keep in mind, as stated in Simplifying the NIH Policy for Late Application Submission, failure to complete registrations in advance of a due date is not a valid reason for late submission.

To respond to a contract solicitation, you’ll need to complete the SAM registration as required in the solicitation.

The SAM registration must be completed by the time a proposal is submitted. All other registrations should be completed in accordance with the solicitation.
